Duties of the Administrative Assistant include providing support to our pastor, assisting in daily office needs and managing the general administrative activities of our church.
The position requires proficiency with computers (including word processing, database entry and website maintenance); strong written and digital communication skills; reliability, discretion and a Christian approach which includes exhibiting a professional and pleasant manner as an ambassador of the church.
The Administrative Assistant reports directly to the Pastor for all assignments and duties listed below while maintaining strict confidence in all matters pertaining to the church including counseling, personal records of giving, church assistance to families, and any other matters requiring trust and discretion.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office and empower the ministry of our church.
Responsibilities Answer and direct phone calls Organize and schedule appointments Write and distribute email, correspondence memos, letters, and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Update and maintain office policies and procedures Order office supplies and research new deals and suppliers Maintain contact lists Submit and reconcile expense reports Provide general support to office visitors Review, maintain, and make regular updates to the church website Manage church social media accounts Send churchwide emails and/or phone notifications as necessary Maintain church event calendar.
Prepare the church bulletin weekly in consultation with the Pastor and the Music Director.
Verify all church and Sunday School collections and make weekly deposits of funds on the first business day of each week.
Create records of giving and mail yearly statements to contributors.
Collect the mail from the church post office box Skills Proven experience as an administrative assistant or office admin assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Job Type:
